Again and again, travel agency employees get upset because hotels pretend not to have received their changes or cancellations sent to them per e-mail and therefore want to charge customers for stays that have been cancelled. The travel agency has to be in a position to prove both to the customer and to the hotel that the e-mail was received and read. Normally this would be impossible as most e-mail programmes allow a user to disable the sending of receipt confirmations. For this reason, many travel agencies have gone back to using faxes which makes communication more complicated and expensive. Secure solution
With the Secure Confirmation Handling solution, e-mails and attachments are archived on the travel agency’s server and converted into hyperlinks (URL). The recipient receives an e-mail with a link to the actual message. As soon as the recipient clicks on the link, it is recorded that the e-mail has been received and read. If the e-mail is not successfully delivered, an escalation process is triggered automatically: depending on the requirements, the message is resent, faxed, printed and sent by post or communicated over the telephone.
Easy handling
All the sender has to do is to mark his/her e-mail as an URL mail. It is then automatically stored on the travel agency’s server and converted. The recipient only has to click on the link – no additional software is required. The solution is compatible with the common messaging programmes such as MS Exchange, Lotus Notes or Novell GroupWise and e-mail programmes such as Thunderbird.
